Cash register (optional feature)<\/h2>\n\n

Tapcoat is fundamentally a cashless system. Guests pay cloakroom fees either digitally via the Tapcoat landing page or via Tap to Pay right at the cloakroom. Staff never come into contact with cash.<\/p>\n\n

For venues and organizers who still want to accept cash at the cloakroom, there is the optional cash register feature.<\/p>\n\n

What the cash register feature does<\/h2>\n\n

The cash register feature is not a traditional POS system but a digital tool for recording cash revenue. It serves to document all cash transactions without gaps \u2014 as the basis for automated cash counting and clean bookkeeping.<\/p>\n\n

Staff record every incoming cash payment in the app as soon as it is received. At the end of the event, the cash on hand can be reconciled with the digital record. If both amounts match, the closing is correct.<\/p>\n\n

Feature status:<\/strong> The cash register feature is currently still in development and not yet fully available in the system. This article will be updated as soon as the feature is officially available. If you have a specific need, contact post@tapcoat.com<\/a>.<\/p>\n\n

Who activates the cash register feature?<\/h2>\n\n

The cash register feature can only be activated by a Manager account via the dashboard. On-site staff have no access to this setting and only see the cash register view in the app if the Manager has enabled the feature for the event in question.<\/p>\n\n

What staff do when the cash register is active<\/h2>\n\n

When the cash register feature is active, staff have one additional task:<\/p>\n\n

  • Record every cash amount in the app when it is received<\/li>\n\n\n\n
  • Count the cash on hand at the end of the event<\/li>\n\n\n\n
  • Check whether the counted amount matches the amount recorded in the app<\/li>\n<\/ul>\n\n

    Any discrepancies are documented and can be viewed in the dashboard.<\/p>\n\n

    DATEV export<\/h2>\n\n

    All recorded cash revenue is included in the DATEV export, which is available via the dashboard. This ensures complete, audit-proof bookkeeping \u2014 even for mixed events with both digital and cash revenue.<\/p>\n\n

    Note on KassenSichV:<\/strong> Tapcoat is designed to comply with the German Cash Register Security Ordinance (KassenSichV). Digital recording of all transactions ensures that all legal requirements for cash bookkeeping are met.
