Checklist: ready for your first event?

Before you go live with Tapcoat, we recommend working through this checklist completely. It ensures that your account, cloakroom, event, and staff are set up correctly — and that you don’t face any nasty surprises on your first event day.

Account & plan

  • Account registered at tapcoat.com and email address confirmed
  • Suitable plan selected — Free for testing, Event day pass or higher for live operation
  • KYC verification started, if paid cloakrooms or guest payments are planned

Cloakroom

  • Physical hooks, shelves, or storage spaces labeled or numbered before the setup
  • Cloakroom created in the dashboard
  • All required item types defined with suitable names and icons
  • Number ranges (areas and building blocks) configured correctly
  • Live preview of the areas checked — first and last number match reality
  • Capacity warning set up, if you want one

Event

  • Event created in the dashboard with a unique name that guests can understand
  • Start time chosen with enough lead time (at least 30 minutes before admission begins)
  • End time entered correctly — set to the following day for events that run past midnight
  • Right identifier chosen (QR or NFC) to match the planned check-in method
  • Cloakroom(s) assigned to the event

Staff

  • All staff members invited with the right role (Manager or User)
  • Invitation emails received and accounts activated
  • Tapcoat app downloaded and launched on all devices
  • App onboarding completed by every person
  • Everyone assigned to the event and able to see the event in the app

Test run before the event

  • At least one test check-in performed with a real device
  • Digital cloakroom pass opened on a test device and saved to Apple Wallet / Google Wallet
  • Pickup (checkout) performed as a test and checked
  • Internet connection tested at the venue — stable connection confirmed
  • All devices in use fully charged or connected to a power source

Recommendation: Do the test run at least one day before the event — not just an hour beforehand. That leaves enough time to solve any problems without being under time pressure. If you have any questions, the Tapcoat support team is there for you.
