Set up Self Check-in with QR codes

With Self Check-in, you use an existing QR code as the cloakroom identifier – instead of generating a new QR code cloakroom tag for every guest. This article explains how Self Check-in works in Tapcoat, which QR codes you can use, and which events the workflow pays off for.

What is Self Check-in?

With Self Check-in, no new cloakroom ticket is created first. Instead, an existing QR code serves as the unique link between guest and item. The code is scanned at check-in and linked to the item dropped off. At pickup, you scan the same code again – the item is returned quickly and unambiguously.

External and internal QR codes

You have two options – and you can also combine them:

  • External QR code: a code your guests already carry, for example from their event ticket or in their wallet.
  • Internal QR code: a code that Tapcoat generates and that is valid for the cloakroom only.

In mixed setups, some guests check in with an external ticket code, others with an internal Tapcoat code.

Which external QR codes can you use?

  • Trade show tickets
  • Entry confirmations
  • Event tickets (e.g. Eventim)
  • Guest lists with QR access
  • Wallet tickets and mobile admission tickets

All that matters is that the code is unique and can be integrated cleanly into the workflow.

How Self Check-in works

  • Step 1: The guest shows their existing QR code or receives an internally generated code.
  • Step 2: Your team scans the code with the Tapcoat app.
  • Step 3: The item is digitally assigned to the code and saved.
  • Step 4: At pickup, you scan the same code – the item is returned unambiguously.

The result: less paper, less searching, fewer mix-ups – even when it gets really busy.

Set up Self Check-in

You configure Self Check-in directly in Tapcoat. You decide whether Tapcoat generates internal QR codes or accepts external codes. Both QR codes and tickets with barcodes – for example from your ticketing system – work as external codes.
