Self Check-in with QR codes for digital cloakrooms
No extra ticket, no additional step: your guests simply use the QR code they already have with them – for example from their invitation, event ticket, or name badge. Your team scans the existing code, pulls up the prepared reservation, and assigns the items digitally on the spot.
Self Check-in explained
What does Self Check-in mean?
Self Check-in is a check-in process in which no new cloakroom ticket has to be created first. Instead, an existing QR code is used as the identifier. This code is scanned at check-in and linked to the item.
This can be an external QR code, for example from:
- Eventim tickets
- trade show tickets
- admission confirmations
- guest lists with QR access
- wallet tickets or mobile tickets
Or an internal QR code generated directly by Tapcoat and used exclusively for the cloakroom.
This makes check-in much easier, because existing processes are extended rather than replaced.

How it works
How Self Check-in works
The guest arrives, shows the QR code they already have, and the team scans it – done. The item is assigned digitally right away. No additional ticket, new code, or extra waiting step is required.
At pickup, the same code is scanned again. This allows the item to be returned quickly and unambiguously – even when crowds are large.
The result: less paper, shorter waiting times, and a simple, secure process for guests and staff.
Self Check-in
Using external QR codes
If your guests already have a valid ticket, an organizer QR code, or an access code, it can be used in Self Check-in as the identifier for the cloakroom. This cuts extra steps at entry and creates a particularly convenient process.
For event organizers, this means:
- no duplicate processes
- less explaining to guests
- faster handling at the counter
- better integration into existing event structures
Especially at large events or with standardized entry processes, this is a strong advantage, because guests don’t have to figure out a new system first.

Benefits
What are the benefits of Self Check-in?
Less friction at entry
When existing QR codes are reused directly, fewer extra process steps are needed. This saves time and makes it easier for guests and staff to find their way.
Clear assignment
Every item is digitally linked to a unique identifier. This minimizes mix-ups and makes every step easier to trace.
No app required
Your guests don’t need a separate app. An existing ticket or a code generated by Tapcoat is all it takes.
Fast workflows during peak demand
Self Check-in is ideal for peak times and large crowds: one step less per guest speeds up the process and takes the pressure off the counter exactly when it matters most.
Flexible integration
Whether trade show, theater, club, arena, or business event: Self Check-in can be integrated into a wide range of event setups.
Greater security for guests
Guests don’t have to rely on a photo of their tag or show makeshift proof. The digital assignment creates a secure and professional experience.

Usage
What types of events is Self Check-in suitable for?
Self Check-in is a good fit wherever guests already use tickets, entry codes, or other digital identifiers. The solution is particularly well suited for:
- trade shows
- concerts
- theaters
- stadiums and arenas
- corporate events
- conventions
- exclusive guest list events
- festivals
- clubs and nightlife events
Hybrid setups are also possible. Some guests can check in with external QR codes, while internally generated Tapcoat codes are used for others.
This makes Tapcoat the only cloakroom software that uses existing event tickets directly as a cloakroom identifier — no extra hardware, no extra app.

Common questions about Self Check-in
Everything you should know about Self Check-in.
- What exactly is Self Check-in?
Self Check-in means that an existing external QR code or an internal QR code generated by Tapcoat is used for identification in the cloakroom process. The code serves as a unique link between the guest and their item.
- Which external QR codes can be used?
In principle, QR codes from existing ticketing or entry systems can be used, for example from event tickets, trade show tickets, or digital guest passes. What matters is that the code can be cleanly integrated into the process.
- Can Tapcoat also generate its own QR codes?
Yes. If external codes aren’t available or you’d rather not use them, Tapcoat can generate internal QR codes that are used specifically for the cloakroom.
- Do guests need to install an app?
No. The process works without an app. Guests only need their existing QR code or the code generated for them.
- Is Self Check-in suitable for large crowds?
Yes. The system really shows its strengths during peak demand, because workflows are shortened and identification is handled digitally and unambiguously.
- What happens when different ticket types are used?
Mixed setups are possible, too. Depending on the event, external and internal QR codes can be used in parallel if the process is planned accordingly.
- Is Self Check-in only meant for tickets?
No. Besides classic tickets, other identifiers can also be used, such as QR codes from guest lists, admission confirmations, or internal systems.
- Can the system be adapted to existing workflows?
Yes. Tapcoat is built so that the cloakroom process can be adapted to your existing event setup. This applies to day-to-day operations as well as branding and user guidance.
- Does the solution also make sense for exclusive or smaller events?
Yes. Especially at high-end or personalized events, Reverse Check-in ensures a clean, discreet, and professional process.
- Can we test Self Check-in in advance?
Yes. Depending on the use case, we can review together how the process can be integrated into your existing infrastructure and which setup makes sense.
