Returning an item with ease (checkout)
At pickup, the guest shows their digital cloakroom pass. Staff scan the QR code on the pass, instantly see the matching hanger location number, and hand out the items. The process is complete in a few seconds.
Step-by-step process
- Tap “Checkout” in the app.
- Scan the QR code the guest shows you. This code is either on the saved wallet pass in the guest’s wallet app or on the Tapcoat landing page the guest has opened in their browser.
- The app shows the matching hanger location number large and clearly on the screen — for example “03A” — along with all items assigned to the pass.
- Staff take the items from the corresponding hook or storage spot and hand them to the guest.
- Confirm the process in the app. This marks the hanger location as free again.
Green display = approved: After a successful scan, the hanger location number appears on a green background. That’s the signal for staff: this pickup is correct and approved.
Guest doesn’t have their wallet pass at hand
Sometimes guests don’t have their pass ready — because their battery is dead, they forgot their smartphone, or the pass wasn’t saved in the wallet. Tapcoat offers a well-thought-out solution for this.
Guests can store their contact details on the Tapcoat landing page in advance. This is especially useful when their battery is low — the guest enters their details while the phone still has power.
In this case, staff can hand out the jacket even without the pass being shown — by verifying the guest’s ID card. The process:
- Search the app for the guest’s contact details — for example by name.
- Check the guest’s ID card for identification.
- Confirm the checkout and hand over the items.
Privacy note: Contact details that guests voluntarily leave on the landing page are used exclusively for cloakroom assignment and for handling any damage claims. Processing is GDPR-compliant. All data is stored on servers in Germany.
Guest has no pass and no stored details
If there is neither a wallet pass nor any stored contact details, on-site event management decides at its own discretion. Tapcoat does not offer an automatic solution in this case — this exception is the operator’s responsibility. Recommendation: define a short internal policy for such cases and communicate it to staff.
