Manage roles & permissions
Tapcoat currently distinguishes between two roles: Manager and User. The role is set when you invite a person and determines which features they can access. Choose the role according to the tasks the person actually performs during day-to-day operations.
Manager
The Manager role is intended for people who set up, configure, and oversee the system. Managers have full access to all features — both in the web dashboard and in the app.
In the dashboard, Managers can do the following:
- Create, edit, and delete cloakrooms
- Create and manage events
- Invite staff members, assign roles, and deactivate access
- Configure branding (logo, colors, wallet pass design)
- View reports, revenue analyses, and real-time reporting
- Manage plan & billing
- Adjust account settings
In the app, Managers also have full check-in and checkout access — so they can work just like cloakroom staff, but also have visibility into all data.
Typical people with the Manager role in practice: venue management, event management, agency coordinators, technical contacts.
User
The User role is for cloakroom staff who work on site with the app. Users have no access to the web dashboard and no way to change configurations. All of their work takes place in the Tapcoat app.
In the app, Users can do the following:
- Accept cloakroom items and check them in
- Issue digital cloakroom passes to guests
- Check out items when guests pick them up
- View the current occupancy status of the cloakroom
Users only see the events they’ve been given access to — no other data, no other events, no billing information.
Typical people with the User role in practice: cloakroom staff, entry staff, event staff and temporary workers, valet parking staff.

Outlook: The role system will soon be expanded with additional roles — including specialized access for accounting and marketing, each with its own permission profile. This article will be updated as soon as these roles are available.
