Simple end-of-day closing & shift handover
A key advantage of Tapcoat is that no manual end-of-day closing is required. Because all transactions are recorded fully digitally, there are no closing tasks that staff could forget or get wrong. The system is balanced at all times.
No closing required
Staff don’t have to close, count, or sign off anything at the end of the event — unless the cash register feature is activated. All check-ins, checkouts, and receipt assignments are already recorded without gaps during operation. The dashboard shows the Manager the current status at all times.
Shift handover between staff members
If staff change during an event, no technical handover is needed. The new person simply logs in to the app with their own account and selects the active event and the cloakroom. All transactions recorded so far are immediately visible — operations continue seamlessly.
Recommendations for a smooth shift change:
- The new person is already logged in to the app before the shift change and is familiar with the event
- Both people briefly run a test scan to make sure everything works
- The person being relieved logs out of the app as soon as they leave the station — so it’s clear who is actively working
With the cash register activated: cash count
If the cash register feature is activated for the event, there is an additional task at the end of the event or at shift handover:
- Count the cash on hand.
- Compare the counted amount with the amount recorded in the app.
- If they match: confirm the closing in the app.
- If there are discrepancies: document them and report them to the responsible Manager.
All recorded revenue — digital and cash — can then be viewed in the dashboard and is available for the DATEV export.
Post-event analytics
Once an event is over, the Manager has all relevant data available in the dashboard:
- Total number of check-ins and checkouts
- Average processing times
- Length of stay
- Peak occupancy and time of peak load
- Revenue data for paid cloakrooms
- Export functions for accounting and DATEV
